Using Max Day-to-Day

Once Max is configured, it becomes your intelligent daily assistant — drafting emails, organizing your inbox, summarizing meetings, and keeping track of key actions automatically.
This guide shows how to make the most of Max in your daily workflow.


🧭 Overview

The Overview tab gives you a real-time snapshot of Max’s activity:

  • Recently drafted or labeled emails

  • Tasks completed or scheduled

  • Meeting summaries and reminders

You’ll also see:

  • Connected integrations (Gmail, Calendar, WhatsApp, Slack)

  • Time Saved with Max — an estimation of hours saved through automation.

📋 Activity Feed

The Activity section tracks everything Max has done for you. Examples include:

  • Email labeling and categorization

  • Drafting replies or follow-up messages

  • Creating or completing tasks

  • Preparing meeting briefs or summaries

Each entry shows the time, action type, and related channels.
You can click an activity item to open its context (e.g., the related email or task).

💬 Reviewing Drafts

When Email Drafting is enabled, Max automatically prepares draft replies for emails that require your response.
You can review and edit these drafts before sending them — Max never sends an email on its own.

How to review drafts:

  1. Open Gmail and go to your Drafts folder.

  2. Look for drafts labeled as Created by Max.

  3. Edit, personalize, or send directly.

💡 Tip: Adjust your Drafting prompt in Settings → Drafting to match your tone or add scheduling links automatically.


📅 Meeting Summaries

Max uses your Google Calendar integration to summarize daily or weekly meetings.
Depending on your setup, these can appear as:

  • Daily Pre-Meeting Briefs

  • Weekly Overviews (e.g., Sunday summaries)

Each summary includes:

  • Meeting titles and participants

  • Key topics or agenda items

  • Follow-up tasks or decisions

🔔 Notifications & Alerts

Max keeps you updated through your chosen channels:

  • WhatsApp – Quick daily summaries or reminders

  • Slack – Task completion and meeting briefs

  • Email – Full summaries or notification reports

You can control where and when you receive notifications from Settings → Integrations or from each task’s configuration panel.

  • Update your prompts regularly to help Max adapt to your evolving workflow.
